Define Your Event
It may seem obvious, but understanding the context of your event and identifying your guests is the key starting point for planning. Defining your event allows you to answer the essential W’s: What/Who/Where/How.
What
First: what type of event are you organizing?
Is it a conference, a dinner event, a cocktail reception, a funeral, a family gathering, a BBQ, or a simple office lunch?
No matter the size, it’s helpful to create a simple outline of your event. This roadmap will guide you through the planning stages and serve as a reference when communicating with vendors—your best ally against forgetting important details!
For larger meals or receptions, a task calendar can be especially useful. Remember, organization is the key to a successful event, regardless of scale.
Who
Who will attend your event?
Is it a group of familiar colleagues or strangers? Will there be VIPs or special guests? Is it a business cocktail meant for networking, or a dinner or reception to celebrate a special occasion like retirement, promotion, or the holidays?
There may always be “surprise” guests added last minute, but knowing your target audience helps avoid missteps and ensures your event runs smoothly.
Where
Where will your event take place?
The location is as important as any other aspect of planning.
If hosting the event at your company, especially for a cocktail format, choose a spacious and welcoming area. Make sure the space is clean, provide tables for hors d’oeuvres, include some seating, and have a discreet workspace for the caterer.
If you want efficient beverage service, plan a table for the service staff. Small details like these make a big difference!
If renting a venue, book early—especially for popular dates like the holiday season. Caterers can often advise you on spaces that best suit your needs.
How
The crucial question: what is your budget?
Whether your event is at a company, an organization, or a private gathering, staying within budget can be challenging—but it is possible.
Prioritizing your needs will save both time and money. And don’t hesitate to ask questions—this is one of the easiest ways to maximize your time!
Once you’ve defined these four points, you’ll be better prepared for the next steps: selecting a caterer, arranging rentals, decorating the space, organizing a coat check, and taking care of all the details that make an event a success.
Remember, your catering team doesn’t just help plan your menu—they also have practical experience with rentals for tables, chairs, tableware, linens, and more. Don’t hesitate to ask for their advice!
Have a great event!
